Create branded email signatures for team members in seconds.

Generate an email signature for your Gmail/Outlook profile. Only works on CCM VPN or in the office.
NOTE: Chrome will automatically add underlines to any links when pasting the signature in and you can’t get rid of them. To remove the underline, open Firefox and Gmail then paste into that and save from FF instead. Stupid? Yes, but the Google. Nuff Said.

Signature details

Paladine swaps the logo and the website line, and drops the Google award badges.
Optional italic line under the address bar — an out-of-office note, a campaign tagline.

How to use

  1. Open Gmail, click on the settings cog, then click “See all settings”
  2. Scroll down to the Signature section on the General tab
  3. Click “+ Create new” and give it a name (e.g. “My signature”), or pick an existing signature from the list to overwrite
  4. Optional: Add your “Regards,” or similar — the signature carries a line of space above it already, so you don’t need to add a blank line yourself
  5. Click in the signature box and paste the signature (Ctrl+V or Cmd+V)
  6. Under Signature defaults, set EMAIL ADDRESS to the address you send from, then set both FOR NEW EMAILS USE and ON REPLY/FORWARD USE to your signature
  7. Tick “Insert signature before the quoted text in replies, and remove the ‘--’ line that precedes it” so replies keep the signature under your message instead of at the bottom of the whole thread
  8. Click “Save Changes” at the bottom of the page
Don’t skip the defaults: both dropdowns start on “No signature”. Paste and save without changing them and Gmail stores the signature perfectly happily, then never attaches it to a single email. Repeat for each address in the EMAIL ADDRESS list you send from.
Chrome Issue: Chrome may add unwanted underlines. If this happens, open Firefox and paste the signature there instead.

The free Outlook — the “new Outlook” app that ships with Windows 11, Outlook on the web, and Outlook.com. Same editor in all three, so these steps cover the lot.

  1. Click the settings cog (top right), then go to Accounts → Signatures
  2. If you have more than one account, pick the right one at the top first
  3. Click “+ New signature” and give it a name
  4. Optional: Add your “Regards,” or similar — no blank line needed
  5. Click in the editing box and paste the signature (Ctrl+V)
  6. Under Select default signatures, set For new messages and For replies/forwards to your signature (some builds show a pair of tick boxes instead — tick both)
  7. Click Save — this editor does not save on its own
  8. Send yourself a test email to check it came through intact
Older web layout: if there is no Signatures entry under Accounts, the path is Settings → Mail → Compose and reply → Email signature. Same fields, same defaults to set.
These signatures live on the server, so setting it here also covers Outlook on the web and the mobile app. Classic desktop Outlook keeps its own separate local signatures — if you use that too, do the other tab as well.

The paid desktop app — classic Outlook from a Microsoft 365 subscription or a one-off Office licence. Different dialog to the free version, and the settings do not carry across.

  1. Go to File → Options → Mail → Signatures (or from a new email, Message → Signature → Signatures)
  2. Under “Select signature to edit”, click New and name it, or pick an existing one to overwrite
  3. Optional: Add your “Regards,” or similar — no blank line needed
  4. Click in the Edit signature box and paste the signature (Ctrl+V)
  5. On the right, under Choose default signature: pick your account in E-mail account, then set New messages and Replies/forwards to your signature
  6. Click OK
  7. Send yourself a test email to check it came through intact
Don’t skip the defaults: both dropdowns start on (none), and they are stored per account — if you send from more than one address, repeat that step for each one in the E-mail account dropdown.
Check your message format: File → Options → Mail → “Compose messages in this format” must be HTML. On Plain Text the signature is stripped back to bare words.
Stored locally in %APPDATA%\Microsoft\Signatures, so it does not sync — set it again on every PC you use classic Outlook on.
